The task and its limits
A warm reply can still promise a date nobody approved. Practise acknowledging a request, stating what is confirmed and explaining the next update. You can write the response yourself; an AI draft is optional.
Practice goal: Write a courteous unsent reply that preserves the customer’s request, confirmed pickup and authorized update without inventing fulfillment or discounts.
Use only the invented information below. Do not paste real emails, personnel records, customer details or confidential business records. Changing a name does not establish permission to upload a real record.
Read the complete fictional source
- [F1] All names, dates and records are fictional. Today is Tuesday 2026-11-03. Mina’s order is for 20 printed place cards. The currently confirmed pickup is Friday 2026-11-06, between 15:00 and 17:00, at the workshop. No payment or refund facts are supplied.
- [F2] Mina writes: “Could I collect the place cards on Thursday 2026-11-05 at noon instead? Please let me know.” This is a request, not a confirmed change.
- [F3] The production lead has not yet decided whether Thursday pickup is possible. The owner has authorized the reply writer to promise an update by Wednesday 2026-11-04 at 16:00, even if the answer is still pending. The owner has not authorized a changed pickup, discount, free delivery or refund.
- [F4] Draft a short reply with a descriptive subject, greeting, acknowledgment, the confirmed Friday window, the unconfirmed Thursday request and the approved update deadline. Do not include a promotional offer, payment claim or an invented reason for the delay. Do not send anything.
- [F5] Change case, considered separately after the original reply: the production lead confirms Thursday 2026-11-05 pickup between 12:00 and 13:00. The owner authorizes communicating that new pickup window. No delivery, discount or payment change is authorized. Draft the updated factual sentence; do not claim the customer has already collected the order.
You can complete this on paper or in a local document. No external account, upload or purchase is needed.

Draft your answer before reading the correction. Optional: use only this fictional prompt in a tool your organization permits. Do not connect accounts, upload other files or send messages for this task.
Using only F1–F5, draft the original unsent reply. Distinguish requested, confirmed and pending facts. Make only the update commitment authorized in F3. Then separately provide the new pickup sentence permitted by F5. Do not blend the changed case into the original response or add offers, causes or payment details.
Complete fictional facts:

Authored flawed sample, not an actual provider response:
Subject: Your rush order is ready! Hi Mina, Thursday noon is confirmed and we will deliver your 20 place cards free of charge. Enjoy a 10% discount for the delay. Everything is paid and ready now. Thanks!
Check the source and revise
-
The sample turns a requested Thursday pickup into a confirmed arrangement. In the original facts, Friday 15:00–17:00 remains confirmed and Thursday is still awaiting the production lead’s decision.
-
Free delivery and a 10% discount have no authorization. Payment, ready-now status and a delay explanation are not supplied. Remove them instead of replacing them with different guesses.
-
Acknowledge the exact Thursday-noon request without accepting it. State the promised Wednesday 16:00 update because the owner explicitly authorized that commitment, including an update if the decision remains pending.
-
Keep the message courteous without inventing a reason, testimonial or offer. A descriptive subject can say pickup request rather than rush order ready.
-
F5 changes the authority and facts only for the separate case. You may now state the Thursday 12:00–13:00 pickup window; the new permission still does not authorize delivery or a discount.
One supported correction:
Original unsent reply
Subject: Update on your place-card pickup request
Hi Mina,
Thanks for asking about collecting your 20 place cards on Thursday 5 November at noon. That change is not confirmed yet. Your current confirmed pickup remains Friday 6 November, 15:00–17:00, at the workshop.
We will update you by Wednesday 4 November at 16:00, even if the decision is still pending.
Thank you.
Separate changed-case sentence: Your new pickup window is confirmed for Thursday 5 November, 12:00–13:00, at the workshop.
Both are authored practice text, not sent messages. The changed sentence must not appear in the original unresolved reply.
Check your answer:
- Preserve 20 place cards, Thursday-noon request and the original Friday 15:00–17:00 confirmation.
- Make the Wednesday 16:00 update commitment, not a Thursday-fulfillment commitment.
- Add no discount, delivery, readiness, cause, payment or refund claim.
- Keep the F5 sentence separate and limited to the newly authorized pickup window.
- Check the draft against the source once more after editing its tone; do not send it.
Different wording can satisfy these checks. Recheck the facts after any rewrite.
Apply the checking habit carefully
Real customer correspondence needs access to the right records and authority for each promise. A CRM token or model suggestion is not that authority. Use the appropriate privacy and messaging process; commercial-email rules can differ from a service reply and depend on jurisdiction and primary purpose. This exercise grants no contact permission and offers no legal conclusion. A clear draft does not prove customer satisfaction, response rates or sales.

Frequently asked questions
- Can I make the requested pickup sound confirmed to reassure the customer?
- No. In the original case Thursday is undecided. Reassure the customer with the authorized update time and the currently confirmed plan, not a promise the source does not support.
- May I replace the invented information with real business records?
- No. Use only the supplied fiction in this practice. A changed name, internal tool or paid account does not by itself establish permission to share a real record. Follow your organization’s approval process for real work.
- Do I need an AI subscription to complete the task?
- No. You can read the fictional source, write your answer on paper or in a local document, then use the explained feedback to revise it. You do not need an AI account, subscription or upload.
- How should I handle a fact that is not supplied?
- Say that it is not supplied and ask the appropriate owner through an approved route. Do not turn a plausible guess into a deadline, permission, service or reported result.
- What should I keep so I can practise again?
- Keep the supplied facts, your draft and a short note explaining your corrections in a local document. This page does not save your answer. The linked free Module 1 requires sign-in, with no card needed.
