The task and its limits
A long checklist can hide a wrong quantity or an action nobody approved. Practise a small printed-materials handoff with complete counts. This is not an event-wide standard procedure, venue inspection or safety plan.
Practice goal: Calculate the specified material quantities and draft an ordered checklist that preserves approval, ownership and missing deadlines.
Use only the invented information below. Do not paste real emails, personnel records, customer details or confidential event records. Changing a name does not establish permission to upload a real record.
Read the complete fictional source
- [C1] Fictional Cedar workshop materials brief: 18 confirmed attendees and 2 facilitators. Every attendee and facilitator receives one printed agenda. Only attendees receive a worksheet. Do not infer additional guests.
- [C2] The brief requires exactly 3 spare agendas and exactly 2 spare worksheets in addition to the copies for the listed people. These fixed spare counts are not percentages.
- [C3] Current-version stock: 11 usable agendas and 8 usable worksheets. Another 4 agendas have the old room information and are not usable. No other stock exists for this exercise.
- [C4] Before any printing, the event owner must approve the current master files. Approval is still pending. After approval, the materials lead checks the stock calculation, arranges the remaining copies, and verifies the usable totals. Do not count an approval request as approval.
- [C5] The materials lead must hand the counted pack to the event desk by 12:30 on October 20. The desk checks the counts and acknowledges receipt. No master-approval or printing deadline is supplied; no individual names are provided.
- [C6] There is no instruction authorizing purchases, disposal of old copies or contact with an outside printer. Printing method, delivery time and other event materials are not supplied. This source is only a printed-materials exercise, not evidence that a complete event checklist exists.
- [C7] Calculate totals and remaining copies, then draft a checklist with Task, Owner, Condition or deadline, and Evidence columns. All steps are proposed or pending; no approval, printing, disposal or handoff has occurred.
You can complete this on paper or in a local document. No external account, upload or purchase is needed.

Draft your answer before reading the correction. Optional: use only this fictional prompt in a tool your organization permits. Do not connect accounts, upload other files or send messages for this task.
Using only C1–C7 below, calculate the required usable agendas and worksheets and how many additional copies would be needed after master approval. Show the arithmetic and keep old agendas outside usable stock. Draft an ordered checklist with task, owner, condition/deadline and evidence. Separate blocked work from completed work, preserve the 12:30 handoff, and list missing decisions without guessing or performing actions.
Complete fictional facts:

Authored flawed sample, not an actual provider response:
Print 5 agendas and 12 worksheets now. Count the 4 old agendas as usable, then discard them. Alex has approved the master and booked an external printer for noon. Every event requirement is now covered.
Check the source and revise
-
C1–C2 require 18 + 2 + 3 = 23 usable agendas. C3 supplies 11 usable agendas, so 23 − 11 = 12 additional agendas would be needed after approval. Old-room copies are not usable stock.
-
Only the 18 attendees need worksheets. Adding 2 spares gives 20; subtracting 8 usable worksheets leaves 12 additional worksheets. The sample’s worksheet number happens to match, but that does not validate its other statements.
-
C4 makes master approval a prerequisite, and it is pending. Do not mark printing ready or claim approval by an invented person. The source names roles, not Alex.
-
C5 specifies the counted handoff by 12:30 and desk acknowledgment. It does not state an approval, printing or vendor delivery deadline. Ask the event owner to establish the missing timing.
-
C6 does not authorize an external order or disposal. Identify the old agendas as excluded from this usable pack and ask the owner how to handle them. A corrected materials list still does not cover venue, safety, access or the whole event.
One supported correction:
Count first: agendas: 18 attendees + 2 facilitators + 3 spares = 23 usable copies; 23 − 11 usable in stock = 12 additional. Worksheets: 18 attendees + 2 spares = 20 usable copies; 20 − 8 usable in stock = 12 additional. The four old agendas are excluded, not counted and then subtracted twice (C1–C3).
| Task | Owner | Condition or deadline | Evidence to retain |
|---|---|---|---|
| Approve current master files | Event owner | Pending; approval deadline not supplied | Confirmation identifying the approved masters |
| Check counts and arrange 12 additional agendas and 12 worksheets | Materials lead | Only after master approval; printing deadline/method not supplied | Approved masters and checked stock calculation |
| Verify 23 usable agendas and 20 usable worksheets | Materials lead | After arranging copies, before handoff | Count record excluding old agendas |
| Hand counted pack to desk | Materials lead | By 12:30 on October 20 | Handoff record |
| Check pack counts and acknowledge receipt | Event desk | At handoff | Desk acknowledgment |
Still to confirm: approval timing, printing method/timing, handling of the four old agendas and any other event requirements (C4–C6). Every row is proposed or pending; no work has been executed. Do not buy, discard or order anything from this exercise (C7).
Check your answer:
- Required usable totals are 23 agendas and 20 worksheets, using different recipient groups and fixed spares.
- Additional quantities are 12 of each; old agendas are never usable stock and are not subtracted twice.
- Master approval stays pending and blocks printing; no person, vendor or approval is invented.
- The materials lead and event desk have distinct handoff/check roles; 12:30 on October 20 is the supplied handoff deadline.
- Missing timing and disposal decisions are listed without action; the list is not represented as complete event or safety coverage.
Different wording can satisfy these checks. Recheck the facts after any rewrite.
Apply the checking habit carefully
In real approved work, confirm recipient groups, spare policy, document version and usable stock before deriving quantities. Keep approval and handoff evidence separate from the draft checklist. If counts or requirements change, recalculate and obtain the relevant owner’s decision. Accessible materials and event arrangements need separate review; this arithmetic does not establish that printed copies meet participant needs. Do not upload attendee lists or access requests to complete the practice.

Frequently asked questions
- Why not count the four old agendas toward the total and replace them later?
- The supplied stock definition excludes them because their room information is wrong. Count only the eleven usable agendas, then calculate twelve additional current copies. Keep any decision about the old copies separate.
- May I replace the invented information with real attendee records?
- No. Use only the supplied fiction in this practice. A changed name, internal tool or paid account does not by itself establish permission to share a real record. Follow your organization’s approval process for real work.
- Do I need an AI subscription to complete the task?
- No. Read the source, write an answer and use the explained feedback. An external tool trial is optional; no provider was run to produce these samples.
- How should I handle a fact that is not supplied?
- Say that it is not supplied and ask the appropriate owner through an approved route. Do not turn a plausible guess into a deadline, permission, service or reported result.
- What should I keep so I can practise again?
- Keep the supplied facts, your draft and a short note explaining your corrections in a local document. This page does not save your answer. The linked free Module 1 requires sign-in, with no card needed.
